I’ve been contemplating mailing the invitations for my hosts. I’m not exactly sure how to get myself organized for this task – both to make it easy on me and my hosts and to make sure I don’t have any of them ‘fall through the cracks’ so I have a few questions:

- For those of you who mail the invites for the host, do you have a special form that you give them to complete and return to you? If so, would you share that form?
- What information do you ask them to give you? Name, Address, email, Phone….anything else?
- Do you give them a certain time-frame or date to get the information back to you?
- Do you ‘offer this service’ or is it the ‘way you do business’? What do you do if you have a host who doesn’t want to give you this info?
- Do you have special verbiage in your Host Letter explaining this service? Would you share that as well?
- Do you offer them special incentives for giving you the info and allowing you to send the invites? If so, what do you offer them?
- Do you US Postal Mail the invites or do you send them via your web-site?
That’s all I can think of right now, I’m sure I’ll have more questions.
