I know that most fundraisers try to keep track of what each student earned so that it offsets the cost of that student's equipment or trip or whatever they are fundraising for. How do you keep track of what each student does? I did see a folder method for the orders collected but what about the online orders? How would I know which student the order was for? Thanks

I only had 1 online order for the fundraiser I just did. I had the guest put the student's name in the notes section.

when I do a fundraiser i have the student who sold the stuff their name goes on the order form somewhere so we also know which student gets the credit as well as who is suppose to be delivering that order. It worked really well in october I did one with over 30 students and they did over 2200.00 in just 2 weeks time.

For online orders - in the written instructions that go out, I tell them in the address section of the order, on the first line to put C/O Sally Student. I let them know that if they DON'T do this, then there is no way for the student they are supporting to get the individual credit.

have someone on their end keep track of that. That is way above/beyond a consultant's responsibility.

Frequently Asked Questions

What are the best practices for tracking earnings during a student fundraising campaign?

To effectively track earnings during a student fundraising campaign, it's essential to maintain a clear record of each sale. Use spreadsheets or fundraising software to log each order, including the item sold, quantity, and price. Regularly update this information to reflect any changes or new orders. Additionally, establish a system for tracking payments received and outstanding balances to ensure accurate financial reporting.

How can online orders be managed efficiently in a student fundraising initiative?

Managing online orders efficiently involves using a dedicated platform that allows for easy order entry and tracking. Ensure that all participants are trained on how to use the online system, including how to input orders and check their status. Regularly monitor the online dashboard for updates and communicate with participants about any changes or issues that may arise.

What tools can help streamline the tracking of fundraising earnings?

Several tools can help streamline the tracking of fundraising earnings, including spreadsheet software like Microsoft Excel or Google Sheets, fundraising management platforms, and mobile apps designed for tracking sales. These tools can automate calculations, generate reports, and provide real-time updates on sales performance, making it easier to manage the fundraising process.

How often should fundraising earnings be reviewed and reported to participants?

Fundraising earnings should be reviewed and reported to participants regularly, ideally on a weekly basis. This frequency allows participants to stay informed about their progress and motivates them to continue selling. Providing updates on total earnings, individual contributions, and any incentives can help maintain enthusiasm throughout the campaign.

What should be done if there are discrepancies in reported earnings or orders?

If discrepancies in reported earnings or orders arise, it's important to address them promptly. Begin by reviewing the records to identify the source of the error, whether it's a data entry mistake or a miscommunication. Communicate with the involved parties to clarify any misunderstandings and make necessary adjustments. Keeping transparent communication will help maintain trust among participants and ensure the integrity of the fundraising effort.
