I tried to do a search, but didn't have any luck. Does anyone have a letter that you send to hosts when they book a ways out that says something about letting you know 3 weeks in advance if they have to cancel? It talks about how this is our business/income and we would like to keep our schedules full and consistent. If they cancel, we'd like to try to rebook the date. I used to have one saved but now I can't find it. Thanks in advance if anyone knows what I'm talking about and can post it. :)

HI Becky! :) I found this but I will keep searching and see if I can find what you are looking for! Good Luck! :p

This is what I have. Hope this is what you are looking for. I remember what you are talking about, but can't find it. I did a search on my files for the word cancel to see if anything else came up, but this was all I had. If I come across it, I will post it.

Thanks you guys. Those aren't quite the ones I was looking for. I'll keep searching too. I do have an email out to my cluster's loop so I hope to come up with something there. If so, I will post it here! :)

This might be it. I found it on the loop. Beth posted it a while back. Here is what I found.

Awesome!! That's it! THanks so much. I have shows booked into October, so I'm definitely needing to add this step to my host coaching. Yay!

Thanks Ginger,

I was looking in all my files and couldn't find it either for Becky and of course wanted to use it as well. :)

Frequently Asked Questions

What is a Host Letter to Prevent Cancellations?

A Host Letter to Prevent Cancellations is a communication tool used by Pampered Chef consultants to remind hosts of their upcoming party details and encourage them to keep their commitment. It typically includes information about the benefits of hosting, tips for a successful party, and a friendly reminder of the date and time.

Why is it important to send a Host Letter?

Sending a Host Letter is important because it reinforces the host's commitment to the party, provides them with essential information, and helps to build excitement. It can also address any concerns the host may have, reducing the likelihood of cancellations and ensuring a successful event.

What should be included in a Host Letter?

A Host Letter should include the party date and time, a brief overview of what to expect during the party, tips for inviting guests, and the benefits of hosting, such as earning free products. Personal touches, such as a thank you note for hosting, can also enhance the letter.

How can I personalize the Host Letter?

You can personalize the Host Letter by including the host's name, referencing any specific products they are excited about, and mentioning any guests they have already invited. Adding a personal note or anecdote can also make the letter feel more tailored and engaging.

When should I send the Host Letter?

It is best to send the Host Letter about one to two weeks before the party date. This timing allows the host enough time to prepare and invite guests while keeping the party fresh in their minds. A follow-up reminder closer to the date can also be beneficial.
