My PC materials mention that it isn't necessary to maintain an inventory, but I recollect some reference that it is acceptable to do so. My question is the best way to handle recordkeeping for any sort of sale like that, mostly for the benefit of the customer if they have a warranty issue later.

Being so new, I am only familiar with P3 and how every guest and their items are "in the system" so I am not clear as to the proper way to handle these sales outside of a show.

I'm not certain, but I think that the only way to work it so that the customer would get the warranty would be to sell them what you have then order another under their name and keep it for yourself. So really you couldn't deplete your inventory. Otherwise you would have to sell it to them with the understanding that there isn't a warranty.
 
I have little sales receipts that I buy with carbon copies. I put my info on their copy and keep the original. That way I can "find" them. However, I try to make it clear that there is no warranty. If they want a warranty, they can purchase it directly from the catalog. After all, it's the same at a store. You don't usually get warranty with clearance items (whether they are really discounted or just discontinued).
