P3 Transition: Database Tasks with Contacts & Shows - Melinda's Question

Click For Summary
SUMMARY

Melinda recently transitioned to P3 and is optimizing her database by associating tasks with contacts and shows. The discussion highlights that associating tasks with both a contact and a show can lead to unintended deletions of tasks if the show is deleted. This approach is beneficial for tasks related to ongoing shows but poses risks for tasks that may need to be retained after a show is canceled. Clear guidelines on task association can enhance database management and prevent data loss.

PREREQUISITES
  • Understanding of P3 software functionalities
  • Knowledge of task management principles
  • Familiarity with database cleanup processes
  • Awareness of data association impacts in relational databases

  • Explore strategies for effective database cleanup in P3
  • Learn about relational database management and data integrity
  • Investigate methods for preserving tasks during show deletions
USEFUL FOR

This discussion is beneficial for P3 users, database administrators, and project managers involved in task management and database optimization.

Those of you using P3 - I made the transition about 2 weeks ago - loving everything so far (what did I wait for?!?!) any way - I am taking some time to clean up my database.

Question: I'm a little confused by associating tasks with just the contact versus the contact and the show. Is there a benefit to doing it one way or the other?

Thanks
Melinda

If you associate it with both (show and contact), then if you delete the show, it'll delete the associated tasks. Not an issue if the task is customer care calls on a show from last month (that you aren't going to delete). But could be a problem if the show ends up being cancelled and you delete it, but want to keep a couple of the tasks (like follow up on potential bookings).
