Do you send an email flyer or snail mail invite decribing the upcoming meeting? Or just a email reminder because everyone knows when and where the meetings are?
I would love to increase my attendence.

I use evite.com and people will RSVP that way.

I include an "Upcoming Events" flyer with my snail mail newsletter, but send an email invitation each week before the meeting, then email a reminder for RSVPS. Seems to work. I always call all of my potentials though.. gives me an excuse to call them at least a few times a month.

Usually just an e-mail asking for RSVP then a reminder 2 days before and stating who I have heard from and who I have not heard from. Try to add in some of what we are going to cover as in...want to make your summer calendar sizzle? Come share and learn new ideas, etc.

I add it in my newsletter & also use e-vite (love it)

Frequently Asked Questions

What are the advantages of using email invites for team meetings?

Email invites are quick and cost-effective, allowing for instant delivery and easy tracking of RSVPs. They can include links to calendar events, making it simple for team members to add the meeting to their schedules. Additionally, emails can be personalized and visually appealing, which may enhance engagement.

What are the benefits of sending snail mail invites for team meetings?

Snail mail invites can feel more personal and thoughtful, which may resonate well with team members. They can stand out in a digital world, potentially increasing the likelihood of attendance. Physical invites can also serve as a tangible reminder of the meeting, especially for those who prefer traditional communication methods.

Which method is more effective in boosting attendance for team meetings?

The effectiveness of email versus snail mail invites can vary based on the team's demographics and preferences. Generally, email invites may reach a wider audience quickly, while snail mail can create a more personal touch. A combination of both methods might be the most effective strategy to cater to different preferences.

How can I track responses for email invites?

Email invites often come with built-in RSVP tracking features, allowing you to see who has opened the email and who has responded. You can use tools like Google Calendar or event management software to manage RSVPs efficiently. This tracking helps you gauge attendance and follow up with those who haven't responded.

Are there any costs associated with sending snail mail invites?

Yes, sending snail mail invites involves printing costs, postage, and potentially design fees if you choose to create custom invitations. These costs can add up, especially if you have a large team. It's important to weigh these costs against the potential benefits of increased attendance when deciding on your invitation method.
