Hi All--I need a little help with how to run my Fundraiser show this weekend. It's not an actual fundraiser, but a friend holding a show for another friend who's house burned down. I have made a Wish list with pictures, prices and #'s to put into all of the folders so everyone will know what to buy, but how do I keep track of what they buy, so that she doesn't get doubles? I don't really want to have to tell people that they will have to pick something else b/c that's already been bought.

Put the wishlist items on index cards, and pass those around - once the index card has been chosen, the next person has to choose something else.

OOOO...Good Idea!!!! Thanks--that helps a bunch:D

That's a good idea. Has anyone ever did a invite for something like this?

Hi there! First of all, I am so sorry to hear about your friend's house burning down. It's wonderful that you are organizing a fundraiser show for her. As for keeping track of purchases, there are a few options you could consider. One option is to have a sign-up sheet where people can write down what they plan to purchase. This way, you can keep track of what has already been purchased and avoid duplicates. Another option is to have a designated person, such as a friend or family member, help you keep track of purchases as they are made. You could also use a spreadsheet or app to record purchases as they happen. Whichever method you choose, be sure to communicate with your guests and let them know that you are trying to avoid duplicates so that everyone can contribute to helping your friend. I hope the fundraiser show is a success!

Frequently Asked Questions

How can I ensure that guests know what gifts have already been purchased?

To avoid duplicate gifts at your fundraising show, consider creating a shared online wish list or registry that guests can access. This allows everyone to see what items have already been selected and helps them choose unique gifts. You can also send out a reminder email before the event, highlighting popular items that have already been purchased.

Should I encourage guests to RSVP with their gift choices?

Yes, asking guests to RSVP with their gift choices can significantly reduce the chances of duplicates. You can create a simple form or use an online tool where they can indicate which items they plan to purchase. This way, everyone is aware of each other's selections ahead of time.

Can I provide a list of suggested gifts to guests?

Absolutely! Providing a curated list of suggested gifts can help guide your guests in their choices and minimize overlap. You can highlight items that are popular or particularly meaningful for the fundraising cause, making it easier for guests to select unique gifts.

What should I do if a duplicate gift is purchased?

If a duplicate gift is purchased, it's best to have a plan in place. You can suggest that the recipient choose an alternative item or offer to exchange the duplicate for a different gift. Communicating this possibility to guests beforehand can help manage expectations and encourage flexibility.

How can I follow up with guests after the show to thank them and inform them of the gifts received?

After the show, send a thank-you note or email to all guests, acknowledging their contributions and informing them of the gifts that were received. This not only shows appreciation but also helps keep everyone in the loop about what was purchased, which can be beneficial for future events.
