Event Planning: What Do You Do With Catalogs & Order Forms?

In summary, there are several options for distributing materials to guests at your party, including digital catalogs, binders or folders, customized packaging, and limiting the number of physical catalogs on hand. Choose the approach that works best for you and your guests.

In the past, I've always handed out clipboards with a catalog, order form, pen and drawing form to each guest. It's a lot to carry. I'm curious as to what you guys do?

Agree, it's a lot to carry. Guests always found a way to write their orders. Better to take another product than clip boards, IMO.

Do you use binders or something else? How many catalogs do you have on hand? There are a few different approaches you could take when it comes to distributing materials to guests at your party.1. Digital Catalogs: One option is to go paperless and provide digital copies of your catalog and order form. You can email these to guests beforehand or have them available to view on tablets or laptops at the party. This eliminates the need for physical catalogs and order forms, and also makes it easier for guests to browse and place orders.2. Binders or Folders: Another option is to use binders or folders to organize your materials. This can include printed catalogs, order forms, and any other relevant information or promotional materials. This allows guests to easily flip through the materials and keep everything organized in one place.3. Customized Packaging: If you want to add a personal touch to your materials, you could consider creating custom packaging for your catalogs and order forms. This could include branded folders or boxes with your company's logo and contact information. This not only helps with organization, but also adds a professional touch to your materials.4. Limited Number of Catalogs: Depending on the size of your party, you may not need to have a large number of catalogs on hand. You could have a set number of catalogs available for guests to look through and then offer to send them a digital copy or mail a physical catalog to them after the party.Ultimately, the best approach will depend on your personal preference and the needs of your guests. Consider what will be most convenient and effective for both you and your guests, and don't hesitate to get creative with your distribution methods.

What are catalogs and order forms?

Catalogs and order forms are printed or digital materials that contain detailed information about products or services offered by a company. They often include product descriptions, prices, and ordering instructions.

Why are catalogs and order forms important in event planning?

Catalogs and order forms are important in event planning because they provide a convenient and organized way to browse and order products or services needed for the event. They also serve as a reference for pricing and availability.

Where can I obtain catalogs and order forms for event planning?

Catalogs and order forms can be obtained directly from the company offering the products or services, either through their website or by contacting their sales team. They can also be found at trade shows or events related to the industry.

How do I keep track of catalogs and order forms for multiple vendors?

It is important to create a system for organizing catalogs and order forms from different vendors. This can include creating a spreadsheet, using a folder or binder, or utilizing online tools to keep track of important information such as pricing, contact information, and ordering deadlines.

What should I do with catalogs and order forms after the event?

After the event, catalogs and order forms should be properly stored for future reference. This can be done digitally by saving them on a computer or cloud storage, or physically by keeping them in a designated folder or binder. It is also helpful to make notes on the catalogs and order forms about which products or services were used for the event and any feedback or recommendations for future events.
